INFORMATION FOR INTENDING PARTICIPANTS
1. Arrival and Departure Dates
KSI would appreciate that you make your travel arrangements to arrive in Brisbane by Wednesday the 29th of June 2005 before 5:00 pm. This is to ensure that you are all organized and settled into your accommodation and rested before the official Welcome Dinner at 7:00 pm. Please let us know if you are arriving after this time.
Also, please arrange your departure for Sunday the 3rd of July so that you can attend the Closing Dinner on the night of Saturday the 2nd of July. If you intend to remain in Brisbane for the rest of the holiday, please make other accommodation arrangements, as accommodation organized by KSI is only booked until Saturday night (2nd July).
All inter-state students will be picked up from Brisbane’s Roma Transit Centre.
2. Confirmation of number and names of participants
All associations and students intending to attend the convention must submit the following information to the organizing committee ASAP.
- Number and names of students from association or institution
- State whether participant is male (M) or female (F)
- State any special requirements (eg. medical or dietary restrictions…)
- Mode of travel; arrival and departure times so that pick-ups and drop-offs can be arranged
- Name, email & phone number of contact person (your coordinator for the committee to liaise with)
- State whether child care (baby-sitting) is required for any children under the age of 7
3. Accommodation
Participants will be accommodated at the Brisbane Backpackers Resort, 110 Vulture St, West End. Check in on Wednesday 29th June and check out on Sunday 3rd July (4 nights).
KSI is subsidizing 50% of the accommodation i.e. KSI pays $11 and students pay $11 ($22 per night). Therefore, for 4 nights, be prepared to pay $44 each. KSI will only subsidize travel and accommodation costs of children who attend the actual convention proceedings.
Please let us know if you prefer to be accommodated by Brisbane students. This will also cost you about the same amount as those in the backpackers’ hostels.
4. Travel subsidies
Due to financial limitations, KSI would like to encourage students to take the cheapest mode of travel (train or coach) and to do group travel arrangements if possible to minimize costs. KSI will subsidize 50% for this mode of travel.
KSI will only consider subsidizing air travel if special circumstances or time travel factors are involved. Air travel subsidies for overseas participants will be considered according to the availability of funds. Overseas participants are therefore required to confirm details with the committee ASAP.
Please keep all receipts and travel documents to show as proof to the committee for your reimbursements.
5. Meals
The only meals that will be provided by KSI are the Welcome & Closing Dinners (Wednesday & Saturday), morning tea, lunch & afternoon tea during the convention days (Thursday & Friday). All other meals will have to be provided by students themselves. The backpacker’s hostels will have kitchen facilities for guests to prepare meals.
While social interaction is encouraged among attendees, excessive alcohol consumption during the convention is discouraged as the repercussions can often be unpleasant for all involved.
6. Convention Program
Students are expected to attend all sessions of the program. Your participation and contribution is vital for the success of the convention. The draft program is attached for your information but is subject to change. A copy of the final program will be given to you when you arrive.
Please note that to receive your full travel subsidy, you are required to attend all sessions of the convention. Registration is required for everyday of the convention.
