For those of you who have waited so long, well, it's happening.
A notice to formally call the ACSA General Meeting, and a call for nominations for committee members was mailed to all members last night.
Nominations will close at 15:00 on 11 February 2005, and the General Meeting will be held at 19:00 on 23 February 2005 at Jacksons Diner. At the General Meeting those members nominated would stand for election, and members will then have the opportunity to elect seven committee members from those individuals nominated and proposed.
Should you be a member of ACSA, and did not receive the e-mail calling for nominations and notice of the General Meeting, then please contact ACSA at Audi Club GM 2005 [gm@audisport.co.za] so that the matter can be resolved.
Now, Gentleman and Ladies, is the time to make yourselves heard!

Glad to see things are happening. Are the members of the KZN Chapter invited to attend the GM if so, what are the chances of changing the date to a week-end. If this GM is for the JHB chapter only, fine, will we be notified of the AGM and when will the date be. Please arrange meetings over a week-end if KZN chapter to be present.

Speed Cop - KZN members are members of the main club so they are more than welcome! There is provision in the Constitution for proxy voting at an AGM, so I assume the same would apply at a GM. I am sure White Knight will have the answer.

Speed Cop, one of the things I would like the new committee to seriously consider, is to reserve a permanent position on the committee for (at least) one member from each of the "distant provincial branches".
At this current election, I have to agree with Gandalf that White Knight will organise some kind of voting mechanism for those who can not attend in person. If you can attend, even better.

Thanks for all the feedback. Let me deal with the issues as they were raised:
1. The constitution does not provide for "provincial committees", thus all members (whether based in Jo'Burg, KZN, Cape Town, or wherever) are first and foremost mebers of ACSA. Following from this, all members of ACSA are entitled to nominate and vote for members of the committee.
2. As I realised that few of the members based outside of Jo'Burg would be able to attend the General Meeting, I included the "voting by proxy" method so as to ensure that all members have an equal say in the nomination and election of committee members (See below on how this works).
3. As to the date on which the General Meeting will be held, it should be noted that due to the current situation surrounding the committee (or non-existance therof), no other business may be dealt with at the General Meeting other than those matters dealing with the election of new committee members (common law). The General Meeting would thus be very simplistic in that the broader issues and wishes of ACSA members may not be discussed, or decisions made at said meeting - in effect a very boring and "unproductive" meeting. The meeting with the real "meat" will be the Annual General Meeting at which any other issue could be raised, discussed, resolutions proposed (for instance to incorporate the idea of "provincial committees into the constitution, etc, etc) and voted on.
Your comments in respect of the AGM being held over a weekend is a very valid one, and also a very good suggestion which I am sure the new committee will take heed of.
Voting by proxy is a very simple method of ensuring equality of votes between those members who can be at the General Meeting (or even an AGM) and those who can not be there. On the closure of the nomination period, being 11 February 2005 at 15:00, I shall e-mail a form of proxy to each member. On the form of proxy will be indicated the names of all those members nominated. Voting members can then make their crosses behind those members they would like to see on the committee (up to a maximum of seven) and send these proxies through to ACSA. Thus, if there are nine nominated members, the voting member will make up to seven elections "FOR" those members he/she would like to see on the committee, and two elections "AGAINST" or "ABSTAIN" for those members whom he/she does not wish to elect onto the committee. At the meeting each and every vote for a nominated member would be counted, whether the member is there in person, or represented by a proxy, and those seven members with the highest votes will be elected to the committee.

I think that its a sterling effort being made on the part of all those gathering the club together and getting it back onto its feet. Its a pity that this general meeting is not on a weekend - as a dedicated member of the kzn chapter i would have made a concerted effort to be there. That said, the voting by proxy method is fair and it would be fantastic to see all members of the club putting foward their nominees and support the voting in of our new committee!
